Administrative Assistant

The Administrative Assistant is an important member of our administrative team, serves as a key customer service problem solver, and is responsible for the success of Schoolhouse of Wonder administrative operations. The Administrative Assistant helps to ensure that administrative functions run smoothly, camp families are communicated with and supported, and our organization’s ability to fulfill our mission is as efficient as possible.

This position provides some of the brains behind our organization: helping hundreds of camp families register for programs, keeping records, paying bills, communicating with families and staff, and looking ahead to solve problems before they can happen.

The Position

Reporting to the Administrative Director, the Administrative Assistant will provide administrative and project support ensuring the smooth operation of the administrative department.

This year-round position begins October 3rd.

Responsibilities include but are not limited to:

Customer Service

  • Consistently deliver extraordinary service to all customers: answering phone calls, managing and responding to emails, and helping  during in-person events 
  • Foster positive relationships with Schoolhouse’s guests and partners
  • Communicate Schoolhouse information via email, blog posts, newsletters, and website updates

Office Administration

  • Support the Administrative Director as requested to keep the administrative department running efficiently and effectively
  • Assist with financial record-keeping, invoicing, and reporting
  • Assist with supply ordering and  inventory
  • Process camp registrations, transfers, and cancellations
  • Maintain systems for filing systems (electronic and paper), organizational record keeping, and reporting (e.g. monthly attendance report)
  • Assist with communication and record keeping for applicants and new hires

Information Technology

  • Assist in maintenance of website, camp registration database, and other technology platforms
  • Follow all technology use protocols 
  • Assist in creation of newsletter, website copy, or other material as needed

  • have a bachelor’s degree or equivalent combination of education and experience and are at least 18 years of age
  • have the skills and commitment to provide exceptional customer service, including the ability to respond with a high degree of urgency and resourcefulness to the needs and requests of customers, community partners, and staff as needed
  • have experience with project management, office operations, and/or administrative experience 
  • have organizational, project management, and time management skills, with the ability to successfully handle multiple or changing priorities simultaneously
  • possess the ability to take initiative, work independently or on a team, and follow through on tasks with minimal supervision,
  • have great attention to detail and produce work with a high level of accuracy in a fast-paced environment
  • possess superior verbal, interpersonal, written, and listening communication skills, with proven ability to communicate information diplomatically, concisely and professionally (to both internal and external audience)
  • possess personal qualities such as integrity, credibility, sense of humor, enthusiasm, initiative, competence, patience, and a calm demeanor and are willing and able to effectively act on feedback and guidance
  • are proficient in computer use including MS Office applications (Word, Excel, PowerPoint) and Google Workspace, and are able to learn new programs

Bonus points (or at least a high-five) if you have…

  • English/Spanish bilingual fluency
  • Additional skill-based training or certifications (First Aid and CPR, SHRM, etc.)
  • Experience working in a small non-profit organization
  • Experience working with Microsoft Sharepoint, Ultracamp, WordPress, and/or Quickbooks


A formal review will be conducted by the Administrative Director to establish and assess progress toward expectations identified in the work plan. Ongoing feedback provided through regular supervision and work plan development/review sessions.

Office Location, Hours, Travel

Although this position is largely remote at this time, it does include in-person meetings and trainings, visits to our program sites, and local errands which require the Administrative Assistant to live locally.

  • Durham County programs take place at West Point on the Eno Park, 5101 N. Roxboro Street, Durham, NC 27704.
  • Orange County programs take place at Brumley Forest Nature Preserve, 3223 New Hope Church Road, Chapel Hill, NC 27514.
  • Wake County programs take place at Umstead State Park, I-40 Reedy Creek Entrance, 2100 N. Harrison Avenue, Cary, NC, 27513 and Harris Lake County Park, 2112 County Park Drive, New Hill, NC 27562.

Travel to other locations is occasionally required. 

Regular hours range from 8:00a – 6:00p Monday through Friday depending on the season, with occasional weekend and/or evening requirements. This is a full-time, non-exempt position expected to work 35-45 hours per week. 


The wage for this position is $15 to $16 per hour.

Standard benefits for full-time, non-exempt employees include the following:

  • Insurance benefits: We currently offer 100% paid health insurance 
  • Paid Time Off: Paid time off is accrued at a rate of up to 80 hours per year
  • Paid Holidays: In addition to paid time off, there are up to twelve paid holidays per year
